Microsoft 365 Copilot Adoption and Support

Most organisations see Microsoft 365 Copilot use spike after training, then fall away as people return to familiar habits. Microsoft 365 Copilot adoption is the work that turns that spike into a habit people keep.

Hypergen's Copilot adoption programme picks up where training ends. Practising AI consultants combine a light readiness check, quarterly reviews, coaching, executive immersion and build support, and you draw on each as your organisation matures. The result is teams that use AI with confidence, keep hallucinations in check and build artefacts the whole organisation reuses.

Why Copilot adoption dips after training

What happens after the training spike sets the return on your licences. Without reinforcement, use settles at once a day within weeks. With ongoing support, the same people climb past their training peak to habitual use.

Copilot use after training, with and without adoption support
Copilot uses per person, per day, over the weeks after training Use rises sharply at training, then dips in the following weeks. With ongoing adoption support through reviews, coaching and help, people climb to the habit level of about one use every ten minutes. With training alone, use settles back to the daily active level of about one use a day. The dip is normal, and each component below is built to carry people through it.

How we support Copilot adoption

Most clients start with quarterly reviews and coaching, then add executive immersion or build work as larger opportunities appear.

Quarterly adoption reviews

A quarterly measure of how often people use Copilot, what they build and where they are stuck.

Coaching and ad hoc support

One-on-one help from AI consultants whenever a question comes up.

Executive immersion

A half-day AI-First Thinking Executive Immersion where your leaders find the larger opportunities.

Build support

Agents and Cowork builds in Copilot and Copilot Studio, through Microsoft 365 Copilot support hours.

Advanced half-day class

A dedicated class on Copilot Studio and advanced Cowork skills.

Quarterly Copilot adoption reviews

Most dashboards report daily active users, which only confirms that someone opened Copilot once that day. A review measures regular use, and for an information worker with the habit that is around once every ten minutes.

What a quarterly adoption review measures: Copilot use per information worker, per working day

About 45 uses assumes roughly 7.5 working hours at one use every ten minutes.

Every review follows the same cycle, so progress is comparable from one quarter to the next.

Coaching and build support

Questions rarely arrive on a schedule. Our AI consultants coach people one-on-one through whatever they face, from a prompt that is not landing to a recurring task that could become an agent. They are the same certified consultants whose customer work earned Hypergen its Microsoft Solutions Partner for Modern Work designation. Where an opportunity needs more than coaching, we build the agent with your team and hand it over for your people to maintain.

Both run on prepaid or monthly blocks of hours, set out on our Copilot support page. Where Copilot Studio is new to your organisation, the Copilot Studio Quickstart sets up development, test and production environments first.

Finding the larger AI opportunities

Copilot covers a wide range of work, so knowing where to focus decides where the return comes from. The AI-First Thinking Executive Immersion brings your most senior leaders into that thinking. In a half-day session at your site, they build, score and sort their own AI initiatives into a roadmap for the next six to twelve months.

Going further with Copilot Studio and Cowork skills

The advanced half-day class suits teams ready to run more sophisticated work and is available on enquiry. It builds on our Copilot Cowork training, starting from the skills participants already use.

What good Copilot adoption looks like

Adoption succeeds when four outcomes hold at once, and each reinforces the others.

Confidence

AI is welcome

People move from wariness of AI to using it with confidence in their own work.

Habit

The ten-minute habit

Copilot use reaches around once every ten minutes across teams.

Accuracy

Hallucinations in check

People ground Copilot in the right documents and check outputs against sources.

Reuse

Artefacts that compound

Templates, reference documents and agents are reused across the organisation and pay dividends.

Case study: a national ASX-listed wholesaler

A national ASX-listed wholesaler engaged Hypergen to take Microsoft 365 Copilot from licences to everyday use. Over one to two months we trained around 60 people, including the executive team.

Stage 1: People and culture

We started with the people and culture team.

Stage 2: Executives

The executive team followed.

Stage 3: Team by team

Training has since rolled out steadily across the business, including sales, marketing and operations.

Where they are now

  • Satisfaction of 4.8 out of 5 across all participant feedback.
  • Heavy adoption of agents in day-to-day work.
  • A well-developed list of AI use cases.
  • Active sharing of prompts, agents and lessons across the organisation.

Why organisations adopt Copilot over ChatGPT or Claude

With ChatGPT, Claude and other models available, many organisations ask why they should standardise on Microsoft 365 Copilot. For most, the answer is where the work already sits. Copilot works inside Microsoft 365 with each person's existing permissions and grounds its answers in their files, email and meetings.

Other models have their place, and we use Claude for our own development work. Our article on the Medicare incident explains how Copilot, Claude and other AI agents differ.

Where to start

Most organisations begin with Microsoft 365 Copilot training, then add adoption support once their teams are using it. If you are comparing providers, our guide to what to look for in a Copilot training provider sets out the questions to ask.

Frequently asked questions about Copilot adoption

Does a Copilot readiness check have to be done?

Not necessarily. The AI industry talks a lot about readiness checks, and they are often overcomplicated. Microsoft 365 Copilot, the paid edition, is safe out of the box: it works inside your existing permissions, so the main risk is information leakage from overshared content.A quick check of your SharePoint permissions covers most of it. Hypergen can advise on anything further and works alongside your MSP to do it.

What does Copilot adoption support include?

Hypergen's Copilot adoption programme combines a light readiness check, quarterly adoption reviews, and one-on-one coaching and ad hoc support from AI consultants. It also covers an executive immersion for leadership teams, build support in Microsoft 365 Copilot and Copilot Studio, and an advanced half-day class on Copilot Studio and advanced Cowork skills. Organisations draw on the components that suit their stage of adoption.

How do you measure Copilot adoption?

Daily active users only shows that someone opened Microsoft 365 Copilot once that day. Hypergen measures regular use: an information worker with the habit uses Copilot around once every ten minutes. Quarterly adoption reviews also look at the agents people are building and the tools they use, then interview users to understand how they work and where the next opportunities sit.

Why choose Microsoft 365 Copilot over ChatGPT or Claude?

Microsoft 365 Copilot works inside Microsoft 365 with each person's existing permissions and grounds its answers in their files, email and meetings. That keeps security simple and puts AI where the work already happens. ChatGPT, Claude and other models have their place. For most organisations, Copilot is the natural platform for everyday AI adoption.

Can Hypergen build agents in Copilot Studio for us?

Yes. Hypergen's AI consultants build agents in Microsoft 365 Copilot and Copilot Studio alongside your team, through prepaid or monthly blocks of support hours. Your people then own and maintain them. Where Copilot Studio is new to your organisation, the Copilot Studio Quickstart sets up development, test and production environments first.

Do you work with our MSP or IT provider?

Yes. Hypergen works closely with existing MSPs and IT providers, who already know your environment. They handle SharePoint and security configuration, while Hypergen brings the AI expertise, training and adoption support. Working this way keeps the Microsoft 365 Copilot rollout simple and avoids duplicating work your IT provider already does.
